How we handle information shared with CANREADS through our website, book-review services and awards programme, and how to contact us about your privacy.

1. Information we collect
We may collect information you voluntarily provide when registering on the site, submitting a book, subscribing to our newsletter or contacting support. This may include your name, email, telephone number, mailing address and payment information. Technical records can include your IP address, browser, operating system, access times and pages visited before and after accessing the site.
Book submissions also involve information about the work and its author. This can include a manuscript, cover image, publication details, award categories, order reference and correspondence about the submission. Please provide information you are entitled to share and avoid including personal information that is unrelated to your request.
2. How information is used
We use information to run and maintain our website and services, personalize and improve the experience, expand the site, understand usage and develop new products, services, features and functionality. It also supports order and payment processing, messages and other communications, fraud prevention, legal compliance and enforcement of our terms and policies.
For a review or awards entry, this means arranging access to your book, communicating about missing materials, assigning the work for assessment and delivering the relevant service. Contact information supplied with an order can be used for order-related follow-up.
Optional marketing communications require an appropriate consent basis. You can withdraw that consent without withdrawing from communications needed to administer an existing order.
5. Retention and protection
Personal information should be kept only for the purposes for which it was collected, including applicable recordkeeping requirements. We use administrative, technical and physical safeguards. Reasonable security measures cannot eliminate interception, misuse or transmission risks.
Our manuscript-handling process provides for deletion of digital documents and books six months after the awards ceremony. That timetable concerns submitted files; it does not describe the retention of invoices, order correspondence or published editorial content.
You can contact us about the information associated with your submission and any applicable retention requirements. A request to remove a manuscript is distinct from a request concerning a published review.
6. Your choices and requests
Depending on your location and applicable conditions, you may request:
- A copy of the personal information we hold about you.
- Correction or completion of inaccurate or incomplete information.
- Deletion of your personal information.
- Restrictions on processing.
- To object to processing.
- Transfer of your information to you or another organization.
Send privacy requests to info@canreads.ca. Explain the request and include the contact details or order reference needed to locate it. Do not send payment-card details. Identity verification may be needed before personal information is released.
Requests receive a response within a reasonable period.
For newsletters you receive, use the unsubscribe option or contact us. Privacy concerns can also be raised with the appropriate regulator, including the Office of the Privacy Commissioner of Canada where applicable.
7. Children’s information
Our site is not intended for children under 16, and we do not knowingly collect their information. If we discover such information, we will arrange deletion as soon as possible. Contact us if you believe a child’s information was supplied.
8. Updates and contact
Revisions will appear on this page with an updated effective date. Please review the policy periodically to stay informed. Material changes to the purposes for collecting or using information may require further notice or consent.
